UniRios accelerates privacy project with technological and collaborative strategies.
The history of Centro Universitário do Rio São Francisco - UniRios, began in 1964, when professor Gilberto Gomes de Oliveira, a pioneer in education, created Colégio Sete de Setembro, and established a new standard in the provision of educational services in Paulo Afonso (BA) and region.
Obtaining the status of University Center granted greater independence in the creation of courses to the institution, after approval by the Ministry of Education on October 21, through Ordinance No. 1,789/MEC in the Official Gazette of the Union.
The institution gained a new identity, carrying the São Francisco River as a mark that so well characterizes the region, further enriching the educational legacy of professor Gilberto Gomes de Oliveira's pioneering initiatives.
“We recognize the importance of leaders’ involvement in this process”
During the initial phase of implementing the Privacy Tools tool, the team in charge of the project from Unirios recognized the importance of actively engaging the institution's leaders in this process of adapting to the LGPD.
Based on this perception, the necessary steps for implementing the tool were defined. This planning took into account both the specific demands of Unirios and the available resources, as well as the deadlines to be followed.
This approach ensured that all project participants were fully aware of their roles and committed to achieving the desired results.
In this context, close collaboration with leaders not only ensures legal compliance, but also reinforces the culture of respect for privacy at all levels of Unirios, consolidating a solid foundation for the LGPD compliance journey.
According to Marcos de Souza Dantas, Financial Services Supervisor at Unirios, the participation of Unirios leadership in the process of implementing the Privacy Tools tool was essential. “The actions were aimed at involving both leaders and employees in each area, with the aim of mapping the flow of specific data for each sector, and then integrating it into the general flow of our institution”, adds Marcos.
With the involvement of all members of the Unirios team in the process of adapting to compliance with the LGPD, the “LGPD Minute” was created, a series of short videos recorded by the Data Protection Officer, which were made available in the institution's internal communication channel. “These videos allowed employees to watch and ask questions at any time. Furthermore, we involve the LGPD theme in all our new hires, regardless of the position held”, explains the Financial Supervisor.
Addressing the challenges of data flow management
In the current scenario, efficient data flow management has become a fundamental part of the success of organizations in various sectors. Unirios, one of Privacy Tools' clients, was no exception to this challenging context. Facing an increasing dynamic of information coming from its internal processes, partnerships and interactions with students, the institution was faced with significant challenges in relation to controlling the flow of this data.
From the beginning of the Privacy Tools implementation process, it was evident that Unirios was dealing with the complexity of managing large amounts of information and manual data tracking proved to be an arduous and error-prone task.
According to Marcos, “the large volume of processes and information flows made it difficult to establish effective control, which, in turn, made it difficult to track personal and sensitive data and the lack of adequate control made it difficult to identify critical points and taking corrective measures quickly and efficiently.”
Establishing governance
Marcos de Souza explains that transforming a company's culture is not an easy task and involves a series of challenges, requiring the continuous commitment of everyone involved. Therefore, the process will not be finalized, as governance does not end with implementation, it continues to be an important part of this constantly evolving process. “We are committed to monitoring on a weekly basis and always seek to listen to leaders and the main actors in governance”, he adds.
Although it is possible to evaluate the implementation as successful, it is essential to recognize that the consolidation of a new culture does not happen overnight and requires the involvement of all areas of the company.
Before the LGPD came into force and the implementation of the Privacy Tools tool, Unirios faced considerable challenges in relation to controlling the flow of data. The large volume of processes and flows made it difficult to establish effective control, making it difficult to track personal and sensitive data.
According to Marcos, the implementation of Privacy Tools made it possible to obtain records of the operations being processed and information about the operators of sensitive data. Furthermore, it made it possible to monitor the flow of customer data records from the beginning of their process in the organization, as well as the data used by employees.
Marcos adds: “the Data Mapping module provided the centralization of the management of the flow of processes and natural and sensitive data, organizing the management of employees' access permissions to existing data in the organization. Furthermore, the implementation of the tool also brought additional benefits, such as the management of cookies on the organization's website, enabling better traceability and management of the website. Through cookies, it is possible to identify the most and least popular pages by users, ensuring the collection of data with the user’s permission anonymously, preserving their privacy and identification.”
In this way, the Privacy Tools management tool provided UniRios with the systematization of the flow of processes and data, as well as the centralization of actions inherent to the LGPD.
